Specification depth is not bureaucracy
The first thing a Western team notices working with a Japanese OEM is the depth of the specification and the volume of supporting documentation requested before anything is approved. Read as process overhead, it feels slow. Read correctly, it is risk being removed before tooling rather than after.
Programs that push back on documentation depth tend to spend the saved weeks again during validation, at a much worse exchange rate.
Decisions are made before the meeting
A design review is usually a confirmation of alignment that was built beforehand, not a forum for debate. Bringing an unresolved trade-off to a formal review and expecting a decision in the room is the single most common misstep.
The practical answer is to do the pre-alignment work — circulate the options, the data behind them, and a clear recommendation in advance, then use the review to confirm.
Quality evidence over quality claims
Expect to show your work: test plans, failure analysis, 8D reports, supplier process capability. A partner that can produce this without being chased is worth substantially more than one that is merely fast.
Language and time zones
Key documents in Japanese, a bilingual program contact, and a review slot that falls in the Japanese working day cost very little and remove most of the friction. Teams that treat this as optional end up with a program that runs at half speed.
